CottLabs LLC, a Maine limited liability company, operated by Charlie Cott (“CottLabs,” “we,” “us,” or “our”), provides web design, AI automation, and custom software services through cottlabs.com. This policy explains what information we collect, how we use it, and the choices you have. If you have questions, email us at charlie@cottlabs.com.
Information we collect
We only collect information you choose to give us. When you fill out our project intake form or contact us, that includes:
- Contact details — your name, email address, and (if you provide it) phone number.
- Business details — your business name and information about the project you’re asking us to build.
- Anything else you send us — messages, files, or notes you share during a project.
Our website does not set advertising or cross-site tracking cookies. Web fonts are loaded from Google Fonts to render the page. Our forms use Cloudflare Turnstile to block spam, which processes limited technical data such as your IP address and browser. On our project form, your contact details reach us when you tap Continue; your other answers stay in your own browser until you send them.
How we use your information
- To respond to your inquiry and answer your questions.
- To prepare, design, build, and deliver the project you asked us to work on.
- To communicate with you about your project, including updates and support.
SMS / text messaging
If you give us your mobile number and opt in, we may send you text messages related to your inquiry or project (for example, scheduling, updates, and support).
Message frequency varies. Message and data rates may apply. You can reply STOP at any time to opt out of further messages, or reply HELP for help. Opting out of texts will not affect the rest of your project.
We do not sell or share your phone number or your SMS opt-in with any third party for their own marketing. Mobile opt-in data is never shared for promotional purposes.
Information we handle for our clients
This is separate from the section above, and it matters most if you are one of our clients or you contacted one of their businesses.
When we build a website or run automation for a client, that software captures enquiries from their customers — typically a name, a phone number or email address, and a description of the work being asked about. We store and process that information on behalf of our client and on their instructions only. In plain terms: it is our client’s information, not ours.
- We do not sell it, rent it, or use it to advertise — not to anyone, not ever.
- We do not use it to train anything, and we do not use one client’s information to benefit another.
- We do not show it to other clients. Each client’s information is kept separate from every other client’s.
- Our client can take it or remove it at any time — a full export in a plain readable format, or a deletion, on request.
If you are a member of the public who contacted one of our clients and you want your information corrected or removed, the quickest route is to ask that business directly, because it is theirs to act on. You are also welcome to contact us and we will pass it on and act on their instruction.
How we share information
We do not sell your personal information. We share it only with the service providers we rely on to run the service — hosting, email delivery, form processing and spam protection, text messaging, and payment processing — only to the extent needed to provide our services to you, and each is bound to use it only to provide that service to us. We may also disclose information if required by law.
Data retention
We keep your information for as long as needed to provide our services and to meet legal, accounting, or reporting requirements. You can ask us to delete your information at any time.
Information we hold for a client is kept while we are working with them and for a short period afterwards so nothing is lost during a handover. When a client leaves, they can take a full export, and we delete our copy on request.
Your choices
You can request access to, correction of, or deletion of the personal information we hold about you by emailing charlie@cottlabs.com. You can opt out of text messages by replying STOP.
Security
We take reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, but we work to safeguard what you share with us.
Children’s privacy
Our services are intended for businesses and are not directed to children under 13. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. When we do, we’ll revise the effective date above. Continued use of our website or services after a change means you accept the updated policy.
